The following information offers timelines for preparing promotion packets for submission to the School of Medicine. Information is provided for all areas of distinction, promotion to all ranks and both non-tenured and tenured packets. We hope this guidance is useful to you as you prepare your materials for promotion. Direct questions to Dr. Nadine Kaslow, Dr. Andrew Furman, Dr. Michael Owens or Ms. Audrey Kelly.
Promotion from Tenured Associate Professor to Full Professor with Tenure
- Meet with Dr. Kaslow or Dr. Owens annually prior to going up for promotion to Professor with Tenure or for grant of Tenure in rank to ensure that you are on track to obtain input on professional accomplishments still needed to be a successful candidate for promotion
- July-August in the year prior to going up for promotion (latest time for this conversation) – Discussion/decision with mentor(s), conference report reviewers and relevant departments leaders about readiness for promotion
- September (latest time for this conversation) – Meeting for discussion/decision with Dr. Kaslow or Dr. Owens about readiness for promotion
- October - February – Prepare promotion packet, have it reviewed by Dr. Kaslow or Dr. Owens and Audrey Kelly, and revised by faculty member
- Monday February 12, 2024 – Complete packet is due to Dr. Kaslow, Dr. Owens and Audrey Kelly
- Monday February 19, 2024 – Proposals are due to Dean’s Office in the School of Medicine, who solicits and collects evaluator letters, and then forwards these to the department
- Proposals must include CV (one page and full), Teaching Portfolio, Service Portfolio, Personal Statement, publications, list of proposed evaluators for review and selection by the Dean’s Office
- Between the time your materials have been sent for review to the evaluators and the final letter is crafted, you are encouraged to provide an addendum with updated accomplishments
- February – Promotions Subcommittee is appointed
- April – Promotions Subcommittee reviews materials, meets, and writes recommendation letter; you must be available to answer questions and possibly provide revised materials
- April – Promotion packet reviewed by Department Promotions Committee and a recommendation is made to the Department of Psychiatry and Behavioral Sciences Executive Committee
- May (first Tuesday) – Packet reviewed by the Department of Psychiatry and Behavioral Sciences Executive Committee and a final recommendation is made by the department
- May – Chair of the Department of Psychiatry and Behavioral Sciences prepares final letter
- Monday May 20, 2023 – Final packet proposing promotion to full Professor with tenure or grant of tenure in rank (full Professor) is due to Dean’s Office in the School of Medicine
Promotion to Associate Professor or Full Professor with Grant of Tenure or Grant of Tenure in Rank as Associate or Full Professor
- Meet with Dr. Kaslow or Dr. Owens every six months prior to going up for promotion to Associate Professor with Tenure or for grant of Tenure in rank to ensure that you are on track to obtain input on professional accomplishments still needed to be a successful candidate for promotion
- September-November in the year prior to going up for promotion (latest time for this conversation) – Discussion/decision with mentor(s), conference report reviewers, and relevant departments leaders about readiness for promotion
- December (latest time for this conversation) – Meeting for discussion/decision with Dr. Kaslow about readiness for promotion
- January - May – Prepare promotion packet, have it reviewed Drs. Kaslow or Dr. Owens and Audrey Kelly, and revised by faculty member
- Friday May 24, 2024 - Final promotion packet due from faculty member to Dr. Kaslow, Dr. Owens and Audrey Kelly
- May – Promotions Subcommittee is appointed
- Monday June 3, 2024 – Proposals are due to Dean’s Office in the School of Medicine, who solicits and collects evaluator letters, and then forwards these to the department

Promotion to Associate Professor, Non-Tenured Based on Teaching or Service
- Meet with Dr. Kaslow or Dr. Furman at least one year before going up for promotion to obtain input on professional accomplishments still needed to be a successful candidate for promotion
- September–October - in the year prior to going up for promotion (latest time for this conversation) – Discussion/decision with mentor(s), conference report reviewers and relevant departments leaders about readiness for promotion
- November (latest time for this conversation) – Meeting for discussion/decision with Dr. Kaslow or Dr. Furman about readiness for promotion
- December -April – Prepare promotion packet, have it reviewed Dr. Kaslow or Dr. Furman and Audrey Kelly and revised by faculty member
- May 1 – Final promotion packet due from faculty member to Dr. Kaslow, Dr. Furman and Audrey Kelly
- May – June - Evaluator letter requests sent, people prompted, and final deadline for letters is July 15
- Between the time your materials have been sent for review to the evaluators and the final letter is crafted, you are encouraged to provide an addendum with updated accomplishments
- May – Promotions Subcommittee is appointed
- August – Promotions subcommittee reviews materials, meets, and writes recommendation letter; you must be available to answer questions and possibly provide revised materials
- August – Packet reviewed by Department Promotions Committee and a recommendation is made to the Department of Psychiatry and Behavioral Sciences Executive Committee
- September (first Tuesday) – Packet reviewed by the Department of Psychiatry and Behavioral Sciences Executive Committee and a final department decision is made
- September – Chair of the Department of Psychiatry and Behavioral Sciences prepares final letter
- Monday September 30, 2024 – Proposal for promotion to Associate Professor, non-tenured, based on teaching or service are due to the Dean’s Office in the School of Medicine
Promotion to Associate Professor or Full Professor, Non-Tenured Based on Scholarship
- Meet with Dr. Kaslow or Dr. Owens at least one year before going up for promotion to obtain input on professional accomplishments still needed to be a successful candidate for promotion
- September-November in the year prior to going up for promotion (latest time for this conversation) – Discussion/decision with mentor(s), conference report reviewers and relevant departments leaders about readiness for promotion
- January (latest time for this conversation) – Meeting for discussion/decision with Dr. Kaslow or Dr. Owens about readiness for promotion
- February-June – Prepare promotion packet, have it reviewed by Dr. Kaslow or Dr. Owens and Audrey Kelly, and revised by faculty member
- May – Promotions Subcommittee is appointed
- July 1 – Final promotion packet due from faculty member to Dr. Kaslow, Dr. Owens and Audrey Kelly
- July - August – Evaluator letter requests sent, people prompted and final deadline for letters is September 15
- Between the time your materials have been sent for review to the evaluators and the final letter is crafted, if your materials need to be updated, you must provide an addendum page(s)
- you may have an addendum page(s) for each section of your promotion packet or an all-inclusive addendum page(s) that uses spacing and document titles to distinguish updates for each section
- if your materials have not yet been sent to evaluators for review, you may update your original documents as often as you need to
- Between the time your materials have been sent for review to the evaluators and the final letter is crafted, if your materials need to be updated, you must provide an addendum page(s)
- October – Promotions Subcommittee reviews materials, meets and writes recommendation letter; you must be available to answer questions and possibly provide revised materials
- October – Packet reviewed by Department Promotions Committee and a recommendation is made to the Department of Psychiatry and Behavioral Sciences Executive Committee
- November (first Tuesday) – Packet reviewed by Department of Psychiatry and Behavioral Sciences Executive Committee and a final recommendation is made from the department
- November –Chair of the Department of Psychiatry and Behavioral Sciences prepares final letter
- Monday December 9, 2024 – Proposals for promotion to Associate Professor or full Professor, non-tenured, based on scholarship are due to the Dean’s Office in the School of Medicine
- The notification of the University’s decision occurs on a rolling basis, but appointment is not effective until September 2025
Promotion to Full Professor, Non-Tenured Based on Teaching or Service
- Meet with Dr. Kaslow or Dr. Furman at least one year before going up for promotion to obtain input on professional accomplishments still needed to be a successful candidate for promotion
- October–December - in the year prior to going up for promotion (latest time for this conversation) – Discussion/decision with mentor(s), conference report reviewers and relevant departments leaders about readiness for promotion
- February (latest time for this conversation) – Meeting for discussion/decision with Dr. Kaslow or Dr. Furman about readiness for promotion
- May-June – Prepare promotion packet
- July-August – Promotion packet is reviewed by Dr. Kaslow or Dr. Furman and Audrey Kelly and revised by faculty member
- September 1, 2024 – Final promotion packet due from faculty member to Dr. Kaslow, Dr. Furman and Audrey Kelly
- September– Promotions Subcommittee is appointed
